Utilizing Phrases, Emoji and Hand Signals for Seamless Meetings
I have been in too many meeting that get completely sidetracked or derailed. Group calls and in-person meetings are essential for our collaborative work, yet they can easily be derailed by over dominant speakers, time mismanagement, or lack of participation - and I have been at fault on all of these myself! I note that often facilitators and participants - like myself - get overwhelmed in isolation. Effective group facilitation is crucial to ensure sessions are productive and inclusive. One approach to achieving this is through the use of short messages, emoji signals and hand signals. These tools can help facilitators and participants communicate discreetly or openly, fostering a smoother and more efficient discussion. Here’s a short list of signals and their corresponding interventions that you could share with your team and even the entire group:
Facilitation Signals for Virtual and In-Person Meetings
Too Much Talking: Politely redirect the conversation to other participants. 🗣️ Raise one hand with a flat palm.
Time Management: Facilitate a transition to the next agenda item or summarize key points.⏳ Tap wrist or show a watch.
Need More Listening: Suggest a round-robin or structured speaking turns. 👂 Cup hand behind ear.
Highlight a Good Point: Acknowledge and build on the point made. ✨ Thumbs up or light bulb gesture.
Stop a Negative Behavior: Address the issue diplomatically or suggest a more positive approach. 🚫 Crossed arms.
Encourage Participation: Ask open-ended questions to invite input from others. 🔄 Open palm moving outward.
Take Note: Ensure the point is recorded or reiterated for clarity. 📝 Pretend to write.
Celebrate Success: Congratulate the individual or team and acknowledge their effort. 🎉 Clap hands or fist pump.
Facilitate Agreement: Summarize differing viewpoints and find common ground. 🤝 Shake hands or join fingertips.
Amplify a Quiet Voice: Repeat or paraphrase the point to ensure it’s heard. 📢 Raise hand slightly and point.
Problem-Solving Needed: Facilitate a brainstorming or collaborative problem-solving session.

🟢 Green Card: Everything is going smoothly.
🟡 Yellow Card: Caution, a potential issue needs monitoring.
🔴 Red Card: Immediate intervention needed.
